Privacy Policy

Last updated: August 30, 2026

This Privacy Policy explains how PAMS Network ("we," "us," or "our") collects, uses, and shares personal information when you use our website and application (the "Service").

We operate the Service from Kelowna, British Columbia, Canada. This policy is written with Canadian privacy law in mind, including the Personal Information Protection and Electronic Documents Act (PIPEDA). If you use the Service from another country, your information is processed in Canada and may also be processed by service providers in other countries, as described below.

Questions or privacy requests: [email protected]

1. Personal information we collect

We collect information you give us, information created when you use the Service, and limited information from your device.

Account and profile

  • Name and email address
  • Password (stored in hashed form) and optional sign-in protections such as two-factor authentication or a passkey
  • Profile photo, if you upload one
  • Time zone and display preferences
  • Email verification status

If you use a passkey, biometric data such as a fingerprint or face scan stays on your device. We only store the credential information needed to recognize that passkey.

Workspace and invitations

  • Workspace (team) name and settings
  • Roles and membership
  • Email addresses of people you invite

Content you enter

You choose what to put in the Service. That can include:

  • Equipment or vehicle details (for example make, model, year, identifiers such as a VIN or serial number, meter readings, notes)
  • Maintenance schedules, completed work, checklists, costs, and parts used
  • Inventory, suppliers, and related contact or purchase details
  • Issues or defects and how they were resolved
  • Photos, receipts, and other files you attach

Some of this may be personal information (for example a name on a receipt, or an identifier that can be linked to you). You are responsible for only entering information you have the right to store with us.

Technical and usage information

  • IP address, browser and device type, and general request information
  • Dates and times you sign in or take actions
  • Activity records in the Service (for example creating or changing a record), used for security and to show history in a workspace
  • Cookies and similar technologies, described below

We do not use third-party advertising or analytics trackers on the Service.

2. How we use personal information

We use personal information to:

  • create and manage your account and workspaces
  • provide the features you use, including storing and displaying Your Content
  • send transactional email (verification, password reset, invitations, and important notices)
  • keep the Service secure and troubleshoot problems
  • understand how the Service is used so we can maintain and improve it
  • comply with law and enforce these terms
  • respond to your requests

We rely on your consent (for example when you register or upload content) and on our legitimate need to operate and protect the Service.

3. When we share information

We do not sell your personal information.

We share information only as needed:

Other people you choose. Members of a workspace can see content in that workspace according to their roles. If you invite someone, they will see that they were invited and by whom.

Service providers. We use companies that help us run the Service, such as email delivery (currently Mailgun) and cloud hosting and storage. They may only use the information to provide their services to us.

Legal and safety reasons. We may disclose information if we believe in good faith that we must do so to comply with the law, protect rights or safety, or investigate misuse.

Business transfer. If we transfer or reorganize the Service, personal information may be transferred as part of that change. We would expect the new operator to use it in a way consistent with this policy.

We do not share your information with advertisers.

4. Cookies and similar technologies

We use cookies that are needed for the Service to work, including:

  • a session cookie so you stay signed in while you use the Service
  • a security cookie that helps prevent cross-site request forgery
  • a remember-me cookie if you choose to stay signed in
  • a time zone cookie so dates and times can be shown in your local time

These are not used for advertising. You can block cookies in your browser, but some parts of the Service (especially signing in) will not work without them.

5. Storage, transfers, and security

Your information is stored on systems we use to operate the Service. Some providers (including email delivery) may process information outside Canada, including in the United States. Those providers are required to protect the information they handle for us.

We use reasonable administrative, technical, and physical safeguards, such as encrypted connections (HTTPS), hashed passwords, and access controls. No method of storage or transmission is completely secure. Please use a strong password and protect your devices.

6. How long we keep information

We keep personal information only as long as we need it to provide the Service, meet our legal obligations, or resolve disputes.

  • If you close your account, we delete or anonymize your account profile (name, email, photo, and sign-in data).
  • If you leave a workspace you do not own, that workspace keeps the records you added until the owner deletes the workspace or those records.
  • If you own a workspace and you delete it, or you close your account while you still own it, we remove that workspace and its records.

We may keep limited information after deletion if we need it for security, fraud prevention, or legal compliance (for example, a record that an account was closed). Backup copies may persist for a short period until they are overwritten.

7. Your choices and privacy rights

Subject to Canadian privacy law, you may:

  • access the personal information we hold about you
  • correct information that is inaccurate
  • withdraw consent where we rely on consent, which may mean you can no longer use some or all of the Service
  • request deletion of your account and personal information, as described above

You can update much of this yourself in your profile and workspace settings. For other requests, email [email protected]. We may need to confirm it is you before we respond. We will respond within the time Canadian law requires.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

8. Children

The Service is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have, please contact us and we will delete it.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and change the "Last updated" date. If a change is material, we will also try to notify you by email or in the Service.
